Privacy policy
Last updated 16 October 2026
This policy explains what personal information Klo Photography collects, why, and what I do with it. Klo Photography is run by me, Kloe, a solo photographer based in Melbourne (ABN 18 283 204 693). When this policy says "I" or "me", that's who it means.
What I collect
- When you enquire: your name, email address, phone number, wedding or shoot date, location or venue, the collection you're interested in, and anything you write in your message. The forms also record which page you enquired from and, on the package enquiry forms, whether you ticked the box to receive marketing emails.
- When you book: names and contact details for you and your partner, postal address, the details in your planning questionnaire (timeline, locations, the names of family members for group photos), and payment records. Card payments are handled by Stripe; I never see or store full card numbers.
- On the day and in your gallery: photographs of you, your family and your guests.
- When you use this website: information about your visit, such as the pages you view, how you scroll and click, your device and browser, and your approximate location (city level). See "Analytics and cookies" below.
- When you enter a competition or claim an offer: your name, email address, phone number, wedding date and venue if you know them, and whether you'd like marketing emails.
I only collect what I need to reply to you, plan and photograph your day, and run the business. You can enquire without giving your phone number by emailing me directly.
How I collect it
Mostly from you: through the forms on this site, by email, phone, Instagram or Facebook messages, and in person, including at wedding expos. Your planner or venue may also pass on timing or contact details for your wedding. Website usage information is collected automatically by Google Analytics and Microsoft Clarity.
Why I use it
- To reply to your enquiry and send you a quote
- To prepare your contract and invoices and to plan your timeline
- To photograph your wedding or shoot and deliver your gallery
- To meet my tax, accounting and legal obligations
- To understand how people use this website so I can improve it
- To run competitions and offers you've entered, including contacting winners
- To send you marketing emails, only if you've agreed to receive them (see below)
I don't sell your personal information, and I don't use it for any purpose you wouldn't reasonably expect.
Your photographs
I keep copies of the photographs I take so I can deliver, back up and reprint them. Your contract allows me to share a selection of your photographs on this website, on social media and in wedding publications. If you'd rather I didn't, just ask, before the wedding or any time afterwards, and I'll stop using them in anything new. I'll always take extra care with photographs of children.
Who I share it with
I share personal information only with people and services that help me run the business, and only what they need:
- Webflow hosts this website and receives the forms you submit.
- Google Analytics and Microsoft Clarity measure how the website is used.
- Studio Ninja holds my client records, contracts, questionnaires and invoices.
- Aftershoot hosts and delivers your online gallery.
- Stripe processes card payments.
- An email marketing platform sends marketing emails, if you've agreed to receive them.
- Hnry, for accounting and tax.
- A second photographer, if you've booked one, or a replacement photographer if I'm ever seriously ill (see the Weddings FAQ).
I'll also disclose information if the law requires it.
Overseas storage
Several of these services store data outside Australia, mainly in the United States and New Zealand: Webflow, Google, Microsoft, Stripe, Aftershoot and Hnry (New Zealand). I choose established providers with their own security and privacy commitments, but by using this website or booking with me you acknowledge your information may be held overseas.
Analytics and cookies
This website uses two analytics tools, both of which set cookies (small files stored by your browser):
- Google Analytics counts visits and shows which pages people read, where they came from and roughly where they are. It doesn't store your IP address.
- Microsoft Clarity shows how people move through pages using heatmaps and session recordings (a replay of scrolling, clicks and taps). Clarity is set to mask what you type and the text on the page, so recordings don't capture your form entries.
I use this information in aggregate to improve the website. I don't use it to identify you. The cookies involved are:
- _ga (Google Analytics) tells one visitor apart from another. Kept for 2 years.
- _ga_ followed by an ID (Google Analytics) remembers your session. Kept for 2 years.
- _clck (Microsoft Clarity) tells one visitor apart from another. Kept for 1 year.
- _clsk (Microsoft Clarity) joins page views into one session. Kept for 1 day.
- CLID and MUID (Microsoft, via clarity.ms and bing.com) recognise the same browser across sites that use Clarity. Kept for 1 year.
Providers sometimes rename or add cookies; this list reflects them as of the date above.
Opting out: you can block or delete cookies in your browser settings, use Google's Analytics opt-out add-on, or browse in private mode. The site works fully without them. More detail: Google's privacy policy and Microsoft's privacy statement.
Marketing emails
I'll only send you marketing emails (news, mini sessions, offers, availability) if you've agreed to them, either by ticking a box on a form or by entering a competition that's run on that basis (see below). Every email includes an unsubscribe link, and I'll act on it within five working days. Replies about your own enquiry or booking aren't marketing and don't need an opt-in.
Competitions and offers
If you enter a competition or claim an offer (for example at a wedding expo), I use your details to run it: to check you're eligible, draw the winner, contact you and honour the offer. Each competition has its own terms.
Some competitions, such as a wedding expo prize draw, are offered in exchange for joining my email list. When that's the case, the entry form and the competition terms say so up front, and you'll tick a box to agree before you can enter. You can unsubscribe at any time after entering, and your entry still counts. For other competitions and offers, joining the list is optional.
I keep competition entries for 12 months after a competition closes, then delete them. If you joined my email list, you stay on it until you unsubscribe.
Keeping it safe, and for how long
I keep your information in password-protected accounts with two-step sign-in where available, and on backed-up drives in my care. I keep enquiries that don't turn into bookings for 12 months, then delete them. Booking and payment records are kept for five years to meet Australian tax law. Your original files are archived as described in the Weddings FAQ; please keep your own backups too.
Seeing or correcting your information
You can ask what I hold about you, ask me to correct it, or ask me to delete it (unless I need to keep it for tax or legal reasons). Email hello@klophotography.com.au and I'll reply within 30 days.
Questions and complaints
If you have a concern about how I've handled your information, email hello@klophotography.com.au or call 0425 660 209 and I'll try to sort it out with you directly. If you're not satisfied with my response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.
Changes to this policy
If I change how I handle personal information, I'll update this page and the date at the top.
